Bus fleet maintenance tied to what each bus brings in

Your drivers report breakdowns from their phones, the shop fixes them with photo proof, and every spare part is charged to its bus. So you know what each one costs you and what it brings in.

The problem

If your shop runs on a notebook, you don't know what each bus costs you

The driver calls in the breakdown, the mechanic jots it down in a notebook and the parts receipts pile up in a drawer. At the end of the month you know what each bus sold, but not what it cost to keep it on the road. That way, your bus fleet maintenance is an expense nobody can explain.

  • The shop lives in a notebook

Breakdowns come in by phone call or text, get written on paper, and nobody knows which ones were fixed, who did the work or which part went in.

  • No idea what each bus costs

You buy parts for the whole fleet and split the cost by guesswork. You never see which bus makes you money and which one eats it up in the shop.

  • Services that slip by

Nobody remembers when bus 07 last got an oil change or new brake pads, or at what mileage. You find out once the bus is already stuck.

What you can do

Your whole shop, one bus at a time

  • Work orders for each bus

Every breakdown becomes a numbered order tied to its bus: who reported it, which mechanic got it, which part went in and the photo of the finished job.

  • Income and expenses for each bus

What the shop spends is charged to the bus that used it. In the income statement by bus you see what each one sold, what it cost and what it left you.

  • Spare parts in each shop's stockroom

You log what you buy and what goes out. Every part that leaves is tied to the bus that used it, with its cost, and you know how many are left in each shop.

  • Tracking by depot or terminal

You set up your shops and give each bus its own. Each shop manager sees their depot, and one shop can service buses from several locations.

  • Full history for each bus

Every repair on a bus with its date, mileage and photos. Pull the repairs report or the buses report for any date range, as a spreadsheet or PDF.

How it works

How maintenance works in Boleti

  1. Step 1

    The driver reports the breakdown

From their phone they pick electrical, mechanical, bodywork, or due for service, and upload up to 6 photos. Later they check My reports to see if it was fixed.

  2. Step 2

    The shop manager assigns it

They get a notice in Boleti, take the order and assign it to a mechanic along with the spare part from their shop's stockroom.

  3. Step 3

The mechanic fixes it and adds a photo

They mark the job as done with a photo as proof, enter the bus's mileage and leave a note if needed, like the serial number of the new tire.

  4. Step 4

The cost lands on the bus

The part used is charged to that bus. You see its income against its expenses in the income statement, kept apart from your box offices' cash.

Frequently asked questions

Questions about maintaining your fleet

Do my mechanics need to know how to use a computer?

No. The module is built to be used from a phone, with large cards and buttons. Mechanics go straight to the jobs assigned to them, mark the one they finished and upload the photo. The shop manager adds mechanics from the module itself; each one takes up a user on your plan, just like anyone else who signs in to Boleti.

Does shop spending get mixed in with the box office cash?

No. Maintenance money is kept separate: it doesn't create entries in your box offices' cash or cash-ups. In the income statement it has its own section, so every peso spent in the shop is counted only once, and you see it charged to the bus that used it.

Can I have more than one shop?

Yes. You set up each shop with its own spare parts stockroom and give each bus its home shop. If a shop services buses from several locations, you mark it as shared. Each shop manager sees the shops assigned to them, and you, as the owner, see all of them.

How do I know when a bus is due for service?

The history of each bus shows every repair with its date, mileage and photos, so you know when the last oil change or brake job was done. When it's due, it gets reported as due for service and joins the shop's queue like any other order, with the shop manager notified.

Can I get a report of what each bus spent?

Yes. You have the repairs report and the buses report for any date range, with what was spent on each one, and you can download them as a spreadsheet or PDF. The income statement also lets you view the company by bus: what each one sold, what it spent in the shop and what it left you.

How do I get started?

It's included from the Línea plan. We help you set up your shops, assign each bus to its home shop and invite your shop manager. From that day on, the cost of each bus starts adding up, and whatever you record stays in your reports even if you later stop using the module.
