Bus driver management, trip expenses and payroll
Your driver logs trip expenses from their phone with a photo of each receipt. When they get back, you settle up against the trip cash you gave them and pay their wages with a signed receipt.

The problem
When settling up with drivers is just a handshake
You hand the driver cash for the trip, they come back with a fistful of receipts, and the math gets done by hand at the box office. At the end of the month you don't know what each trip cost you or what you owe each person. Good bus driver management starts with having all of that in writing, with photos, in one place.
You don't know what each trip cost
Diesel, tolls and meals get paid on the road and show up as scraps of paper. When you want to know what each bus earned you, nobody remembers.
Settling up with drivers from memory
What they were given, what they spent and what they brought back goes in a notebook. If something doesn't add up, it's your word against theirs.
Everyone sees everything, or nothing
Either everyone gets the keys to everything, or drivers and cashiers can't log anything. There's no middle ground, and the money is in plain view.
What you can do
Everything about your drivers, in order
Driver trips and their expenses
You hand over the trip cash and the driver logs diesel, tolls and meals with up to 3 photos of the receipt. Every expense is charged to the bus they drove.
Settlements and balances per driver
When they're back, you settle up: approve receipts, see what came back, and any shortfall comes out of their pay. Bonds, loans and payments stay on their account.
Driver payroll with a receipt
Per trip with a rate for each route, per kilometer, with commission on onboard sales, or mixed. Pay in cash or by transfer, with signature, photo and a numbered receipt.
Boarding from their phone
The driver scans each ticket's QR code, only for the trip you assigned them, and sees how many passengers are on board out of the tickets sold.
Everyone sees only what's theirs
Permissions by job with user roles: drivers see their trip, their pay and their bond; whoever settles up at the box office doesn't see the business reports. Each driver also has a profile with their licenses.
How it works
How driver management works in Boleti
Step 1
Decide how you pay your people
In Settings you choose whether you pay per trip, per kilometer, by commission or mixed, the rate for each route, and how pay is split between lead, second and third driver.
Step 2
Hand over the trip cash and start the trip
You record the money you give them for the road. The driver opens “My trip” on their phone, starts the trip they're assigned to and logs the odometer with a photo.
Step 3
Every expense, with its receipt
Diesel, tolls and meals are logged on the spot, with a photo and how they were paid: trip cash, company card or the driver's own money.
Step 4
Settle up and pay wages
When they're back, receipts get approved and the account is closed: wages, expenses, shortfall and bond. Pay in cash from the register or by transfer, with signature, photo and receipt.

Questions about drivers and payroll
Does the driver need to install an app?
No. The driver signs in to Boleti from their phone's browser with their own user and sees “My trip”: their assigned trip, their expenses, their payments and anything pending on their bond or loans. They can only start the trips you assigned them, and they need an internet connection to log expenses and photos.
How is each driver's pay calculated?
You choose the method: wages per trip with a rate for each route and a general fallback rate, pay per kilometer using the route's distance, commission on what they sell on board, or a mix. If two or three drivers go on a trip, pay is split between lead, second and third driver by percentage or by amount. You can add bonuses or deductions, always with a reason.
What happens if the driver can't account for all the trip cash?
When you settle up you see what they were given, the approved receipts and what they brought back. Whatever is missing comes out of their pay and the trip cash is closed. If the deduction is bigger than what they earn on that trip, their pay never goes negative: the difference is recorded as a debt to collect later.
Can I manage bonds and loans for my drivers?
Yes. Each driver has an account for their bond, loans, uniforms or accident costs. The bond builds up from a percentage of their pay until it reaches the cap you set, and loans are deducted in installments; when needed, you can skip a deduction. Drivers check their balance from their phone, so there are no surprises on payday.
Who can settle up and pay wages?
You decide with user roles. Besides management, the box office manager settles up and pays wages from their own box office, without seeing the business reports, and drivers only see what's theirs. Nobody can settle their own account or pay themselves, and every payment comes with a signature, a photo and a numbered receipt.
Where do I see what my drivers cost me?
In the driver trips and payroll report, which you can download as a PDF or a spreadsheet, and in the profit and loss statement, where payroll shows up per bus and per trip alongside trip expenses. That way you know what each bus earns you after paying its crew.
